Job Name Formatting Options and Usage Guide

This article explains the different job name formatting options available in our system and how they work. You can choose from several formats to automatically generate consistent, meaningful job names.

The setting can be accessed under Company Settings >> Job >> Job Name Format.

Available Job Name Formats

1. Sort On (Last Name or Company Name) + Date Format

  • Format[Last Name] YYYYMMDD or  [Company Name] YYYYMMDD

  • Example Job NameDoe 20250615 or Arborgold 20250615

  • How it works:
    The system generates the job name by using the contact's preferred type—either the last name or the company name—along with the current date formatted as YYYYMMDD.

2. Sequential ID Format

  • Format: Sequential numbers (1, 2, 3 or 100...)

  • Example Job Name: 12, 3, 100

Important Notes:

  • Only numeric values are accepted

  • Field cannot be left empty (defaults to 1 if empty)

  • Sequence continues from last used number

3. Custom Format

  • Components available:

    • Prefix (text field)

    • String:

      • Empty

      • Sort On
      • Date
      • Sort On + Date
    • Sequential ID (numeric)

  • Example formats[Prefix]_[Sort On]_[ID], [Prefix]_[Date]_[ID], [Prefix]_[Sort On + Date]_[ID], [No Prefix]_[Sort On]_[ID], [No Prefix]_[Date]_[ID], [No Prefix]_[Sort On + Date]_[ID].

  • Example Job NamesAG_Doe_100, AG_20250615_100AG_Doe 20250615_101, Doe_100, 20250615_100, Doe 20250615_100.

  • Important Notes:

    • ID must be numeric

    • Prefix supports up to 100 characters (will be truncated if longer)

    • ID supports values up to 1,000,000,000

Common Questions

Q: What happens if I leave ID fields empty?
A: The system will reset to default values (1 for Sequential ID).

Q: Can I use special characters in job names?
A: Only in the Prefix field of Custom format. Sequential IDs must be numeric.

Q: What happens if I switch between formats?
A: Each format maintains its own sequence. Switching formats won't affect already created Jobs.

Q: How does the system handle very long names?
A: Names may be truncated to a reasonable length if they exceed system limits.
