Types of Formats

Types of Templates and What They’re Used For

Proposals:

Proposal formats are used to share information from the bid, whether to your customers or your office for your own records. The proposal should be used to print things that you want your customer to be able to see, including but not limited to prices, proposal notes, and your terms and conditions. All of our updated proposals should be in a 'ProposalFusion' format.

Work Order:

Word Order formats are used to share work information with your crews. Work Orders will usually include information that your crews need to complete your services, including but not limited to service pictures, estimated hours, job notes, and work order notes. These come in two different forms: the standard work orders, and the condensed work orders.

Invoice:

Invoice formats are used to show the billing information for one invoice (this is different than statement templates, which can show the billing information for multiple invoices). Invoices generally include information like total due, invoice or customer balance, and due date and terms. Invoices will not include finance charges, payments, or credit memos. Usually, invoices are different based on whether they should the invoice or the customer balance.

Statement:

Statements formats are used to show the billing information for multiple invoices (this is different than invoice formats, which can show the billing information for only one invoice). Statements usually contain information like the transaction, the effective date, and the 30-60-90 line. There are three types of statement template, the statement, the statement of transactions, and the batch statement.

The statement formats will show the data for open invoices, and will include the transaction data, as well as the service information from the open invoices. The statement is able to show a 30-60-90 line.

The statement batch formats work just as the statements do, showing the data for open invoices, and including the transaction data, as well as the service information from the open invoices, but they are batch compatible (can be used on the Batch Statement screen). The statement batch is also able to show a 30-60-90 line.

The statement of transaction format shows all of the transactions made on a customer’s account with the date range you set, as well as the customer’s amount due, and the transaction total. The statement batch is not able to show a 30-60-90 line, and is not batchable. Note that in order to function properly, the statement of transaction format must be named statementoftransaction.mrt.

Credit Memo:

Credit Memo format is only used to print a credit memo from the customer AR page. The credit memo template shows basic job information, such as job name, job site, and phone, as well as information on the credit itself, like credit total and description.


If you’d like your template list updated with the newest versions – we do not batch out new templates, as this would affect your customized versions – please put a ticket in with the Help Desk, letting us know what you’re wanting (updated proposals, work orders, etc.) and what templates you DO NOT want updated.
